PTA Leaders – As you begin to wrap up your fiscal year, please remember to do the following in your final PTA Board and Membership meetings and before your board members transition:
*Hold elections! Go to https://delawarepta.org/running…/local-unit-resource-guides/ for information on how to do this.
* Vote and approve a summer budget that covers expected income and expenses between July 1st and your first PTA meeting (when your membership approves next year’s operating budget). You can’t spend money unless its in a budget approved by your members!
*Pay any remaining outstanding membership dues. You can easily check if you have a balance due to the state by going into your Memberhub account and looking on the State Payments dashboard under the Admin Console. Or send an email to admin@delawarepta.org and a member of the board will assist you.
*Report your new board to Delaware PTA. You can now do this in your Memberhub account. Go to Admin Console, PTA, Officers and Add Officers for the year of 2019-2020.
*Close out your books June 30th. Make sure all reimbursement requests are submitted in time for you to write checks before the books close. Ask about any outstanding checks not yet cashed. Plan on who will do your audit and 990. Don’t leave incoming officers in the lurch!
*Go to the bank with the new board members and switch account signature responsibilities as necessary. Make sure the right people are on the bank account for the summer and incoming year. Make sure all IRS and PTA Guidelines regarding treasurer responsibilities and account signers are followed. Please contact Delaware PTA at admin@delawarepta.org with any questions.
